Who this guide helps
Owners assessing a new point of sale for a retail bakery, cake shop or bakery café.
Evaluation steps
1. Map the order types
Write down the percentage of walk-in, preorder, custom cake and wholesale work you handle. For each order type, check how the system accepts orders, controls payment, tracks fulfillment and prevents commitments beyond production capacity.
2. Test a complete customer journey
In a demo, create a cake with a deadline and deposit. Allocate production, adjust a recipe and mark it ready. Finish by collecting payment and verifying the customer-facing pickup status. If the flow requires exporting to a spreadsheet, budget for that work.
3. Inspect production, not only checkout
Look for batch quantities, recipe yields, ingredient usage, allergen data, actual waste and due-time visibility. A restaurant kitchen ticket and a bakery production batch are not interchangeable.
4. Calculate total cost of ownership
Compare subscription fees plus hardware, payment processing, staff seats, extra locations, support, training and data migration. Use the same expected sales volume and same annual period for each vendor.
5. Verify operational resilience
Ask what happens when Wi-Fi is unavailable, an employee leaves mid-shift, stock reaches zero, a payment fails, or a plan is downgraded. Request an export of product, order and customer data.
6. Run a staff acceptance test
Ask one cashier and one baker to complete their daily work on the demo. Check readability, camera uploads, role permissions and how easily mistakes can be corrected.
Frequently asked questions
What is the best POS system for a bakery?
There is no universal winner. For a retail bakery, prioritize fast counter checkout and usable reporting. Custom cake shops need quotations, deposits and deadlines. Production-heavy bakeries need batch planning, recipe consumption and finished stock. Test the complete process before comparing subscription prices.
Should a bakery buy restaurant POS software?
It can work for some bakery cafés, but confirm production planning, waste, batch yields and custom cake orders separately. Restaurant kitchen ticketing is not automatically equivalent to bakery batch manufacturing.
